Who looks after your details
Scenes Found LLC is a tour company registered in California, with its office at 5850 W. 3rd Street, Suite 214, Los Angeles, CA 90036. We decide what personal information this website and our booking process collect, and we are responsible for it. In European data protection terms, we are the controller.
Questions about this policy or about your own details go to [email protected], or by mail to Scenes Found LLC, 5850 W. 3rd Street, Suite 214, Los Angeles, CA 90036. Graham Park, our operations manager, answers them.
What the forms on this site collect
We only collect what you type into a form, plus the technical minimum a web server needs to deliver a page. The forms ask for:
- Tour enquiry and quote request: your name, email, optional phone number, the tour and date you are interested in, number of travelers, room type, extra nights and any message you add.
- Private tour request: the same, plus the size of your group, the month and the kind of trip you have in mind.
- Contact form: your name, email, optional phone number, the topic and your message.
- Newsletter and deal alerts: your email address only.
- Gift card order: your name and email, the amount, the recipient's name and how and when the card should be sent, including a postal address if you want it mailed.
- Guest story form: your name, email, the tour and year you traveled, your message and whether we may ask you about publishing it.
Each form also sends the page it was sent from and a timer that tells us a person, not a script, filled it in. A hidden field catches spam robots.
Details we need once you book
When you book, we also ask for the names exactly as they appear on each traveler's passport, a date of birth where a studio, park or airline needs it, an emergency contact, and room and diet preferences. If you choose to tell us about allergies, medication or mobility, we use that only to look after you on the tour.
Payments are made by card or bank transfer. Card payments go through the card processor our bank provides; we see the last four digits and the result, never the full card number, and we do not store card details on this website.
Why we use your information
- To answer your question, prepare a quote and hold seats for you (the steps you asked for before a contract).
- To run your booking: hotels, drivers, local guides, studio tour and park tickets, transfers and the 24/7 line (performing our contract with you).
- To send the monthly newsletter or deal alerts you signed up for (your consent, which you can withdraw with one click in every email).
- To keep accounting and tax records as the law requires (legal obligation).
- To keep the site and our mailboxes safe from spam and abuse (our legitimate interest).
We do not sell your personal information, we do not share it for cross-context behavioral advertising, and we do not use it for automated decisions about you.
Who processes it for us
Form messages travel from this website to our company mailboxes at our email provider. Our web host stores the site and its server logs. Our bank's card processor handles card payments, and our accounting software keeps invoices.
For a booked tour we pass the details each supplier needs, and nothing more, to the hotels, transport companies, local guides, studios and parks on your itinerary, in the countries you travel to. Your tour leader receives the passenger list, emergency contacts and any health or diet notes you gave us.
Some of these suppliers are outside the United States, and our own systems are in the United States. When we send details of European or UK travelers abroad, we rely on the travel contract you asked for and, where the law requires it, on standard contractual clauses.
How long we keep it
- Enquiries and quotes that do not lead to a booking: 24 months, then deleted.
- Booking and payment records: 7 years after your tour, for tax and accounting.
- Health, diet and mobility notes: deleted 90 days after you return home.
- Newsletter address: until you unsubscribe.
- Server logs: up to 30 days. To stop a flood of spam, the form handler keeps a one-way code made from your IP address for about ten minutes.
Your rights in the US, the EU and the UK
Wherever you live, you can ask us what we hold about you, ask for a copy, ask us to correct it or delete it, and unsubscribe from email at any time. We answer within 30 days and do not charge for it.
California residents have these rights under the CCPA as amended by the CPRA: to know what we collect and why, to delete, to correct, to opt out of sale or sharing (we do neither), to limit the use of sensitive information (we only use it to run your tour), and not to be treated differently for using these rights.
Travelers in the EU, the EEA and the UK have rights under the GDPR and the UK GDPR: access, rectification, erasure, restriction, objection, data portability and the right to withdraw consent. You can also complain to the data protection authority where you live, though we would like the chance to put it right first.
To use any of these rights, write to [email protected]. We may ask you to confirm your identity before we hand over or delete anything.
Third-party services on these pages
The typefaces, photos and scripts come from our own server. Pages with a map also load files from two other companies, which then see your IP address and browser details, as any web server does:
- cdnjs, run by Cloudflare, for the map software on pages with a map.
- Esri (server.arcgisonline.com) for the map images on those pages.
None of them sets a cookie through this site. The links to Wikimedia Commons on the photo credits page only load when you click them. Our cookie policy has the details.
Children and young travelers
This site and our tours are meant for adults. Travelers under 16 come with a parent, who books for them. We do not knowingly collect information from children under 13.
Changes to this policy
If we change how we use personal information, we update this page and the date at the top. If a change affects a booking you already made, we tell you by email.
